4. Membership
There are two ways in which people can be members of HFC:
a. Active members
By joining the ‘active members’ – this is a self-defined status and it is taken on trust that anyone becoming an ‘active member’ will actively contribute to the group through volunteering. In order to be an ‘active member’ a person should come along to a meeting or contact the main email address for the group.
b. Wider membership
By signing up to an email mailing list or joining the Facebook group – this means they will receive information about the group’s upcoming meetings and activities.
5. Meetings
a. The collective will meet at least 4 times per year. Meetings are open to all.
b. Meetings will be chaired in rotation with no one designated chair. Notes will be taken at meetings and circulated to all active members as well as the wider membership where appropriate.
c. HFC will hold an Annual General Meeting (AGM) each year. Every member will be given at least two weeks’ notice of the AGM. A financial report and summary of activities will be given.
6. Group structure
a. HFC is a non-hierarchical group and is open to all who support the aims stated in section 2.
b. HFC will have a treasurer, approved by active members. This role will be reviewed at each AGM.
c. Active members will make decisions by majority on behalf of the collective. Where a decision is to be made at a meeting and some are unable to attend, active members will have been given a chance to voice their opinions in advance, and these will be taken into account by those present.
7. Money
a. Main funds will be held in the group’s bank account. All cheques must be signed by two signatories.
b. The treasurer will organise and monitor petty cash where necessary.
c. Funds cannot be used to pay volunteers except to refund legitimate expenses.
d. Funds may only be used for the purposes of the group.
8. Dissolution
a. If HFC for any reason needs to be dissolved and there is no practical way of continuing the group this will be decided by a majority of active members.
b. Any funds in HFC’s possession will be donated to an organisation with similar aims.
